Job Responsibilities
- Organize daily routine work such as scheduling, prioritizing and confirming meetings and appointments such as operation meeting, marketing meeting, travel arrangements, meal arrangements, accommodation arrangements or any ad-hoc meeting/appointments.
- Responsible for keeping the Director(s) apprised on any issues or information gathered at the meeting, events or activities attended in superior's stead or other significant information gathered in the course of performing any official duties.
- Attending meetings and keep minutes. Receiving and screening phone calls and redirecting them when appropriate.
- Assist superior in welcoming dignitaries, VIPs, visitors or any key & important guests in a professional way.
- Interact professionally with all levels of management, employees and business associates.
- To undertake special assignments, ad-hoc functions and related duties as specified by the management.
- To discreetly manage all company-related matters with the utmost confidentiality
- Collecting, checking and processing reports to the Director(s) and preparing a summary report.
- Handle administrative duties, such as claims and digital filing. To be resourceful, diligent, and organized
- Travel outstation may be required for external meetings, events and functions.
- Assist in maintaining good relationships backed with strong interpersonal skills.
- Undertake special assignments and related duties as specified by the Director(s).
Job Requirements
- Candidate to possess minimum Degree in Business Management and Secretarial or equivalent.
- Excellent organizational skills, coupled with attention to detail and a modern, fashionable eye for presentation and design.
- Able to communicate effectively in English, both verbally and in writing; additional language proficiency is an added advantage.
- Preferred minimum 2 to 5 years and above of working experience in the secretarial field and considers oneself as being street smart.
- Presentable, good teamwork, strong EQ, resourceful and able to think outside of the box.
- Must possess Class D Driving License and own personal transportation.
